The primary responsibilities will include ensuring smooth running of the family office, administrative duties and personal tasks to support the client and his family. Personal Assistant Job Responsibilities:
- Keep files, documents, and private information organized and secure
- Handle different tasks each day; be able to multitask and manage time well
- Communicate with home contractors and vendors on behalf of the family
- Take care of scheduling for the family dog (vet visits, grooming, etc.)
- Book travel and make travel plans for the family/ Sign up children for school, camp, and events
- Take on random tasks and errands as needed; be flexible and adaptable
- Manage emails, phone calls, and messages with care and privacy
- Keep both paper and digital files organized/ Order office supplies when needed
- Schedule contractor visits and be there when they come to the house
- Buy items like gifts or online purchases; handle returns if needed
- Remember and track birthdays and other special dates/ Help plan and organize family events and activities
- Other responsibilities as needed
Personal Assistant Job Requirements:
- At least 2–3 years of work experience in a similar role. Must have prior experience working as a personal assistant or coordinator
- Experience in real estate or a family office is a plus
- Must have your own car with valid driver's license
- Detail-oriented, highly organized and adaptable; must be able to pivot tasks quickly if needed
- Hardworking, dependable, on time, honest, and efficient
- Friendly and polite, with excellent communication skills & decision-making abilities
- Must be open to flexible hours at times, including weekends and evenings
