Position: Executive Assistant with Financial Services experience (This role will be On-Site)
Executive Assistant Responsibilities:
- Provide comprehensive administrative support to the President and executive team, ensuring smooth day-to-day business operations
- Oversee office management duties, partner with property management on facility issues, and maintain an organized and welcoming work environment
- Coordinate logistics for meetings, team events, and training sessions, including planning, communication, and execution
- Handle travel arrangements, manage office supply procurement, and uphold cleanliness and functionality of shared office spaces and gathering areas
- Administer onboarding activities for new hires, including scheduling interviews, organizing travel, preparing workspaces for new team members and visitors, coordinating with IT, and ensuring compliance with training and certification requirements
Executive Assistant Qualifications:
- Minimum of 2 years of administrative experience, ideally within the financial services industry
- Bachelor's degree preferred, or equivalent combination of education and professional experience
- Exceptional organizational abilities and meticulous attention to detail, with proven track record in administrative performance excellence
- Ability to handle sensitive and confidential matters with discretion, tact, and professionalism
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong written, verbal, and electronic communication, time management, and multi-tasking capabilities
- Collaborative, solution focused, always thinking ahead, positive decision making capability
