We are a leading hospitality design firm seeking an experienced Bookkeeper to join our team. This role is vital in ensuring the accuracy of financial operations and supporting our CFO with both daily accounting tasks and high-level financial reporting. Candidates with a background in the construction or design industry are strongly preferred.

Bookkeeper Responsibilities:

  • Payroll Processing:
    • Process payroll and upload journal entries (J/Es) into QuickBooks.
    • Manually enter and process timesheets (with future goal to automate).
  • Project Billing:
    • Prepare monthly billing based on project goals and proposals.
    • Calculate phase percentages based on hours worked.
    • Include lien waivers, detailed hourly reports, and send billing via email.
    • Follow up with clients biweekly on outstanding invoices.
  • Accounts Payable & Receivable:
    • Enter bills and record client payments.
    • Deposit checks via desk scanner and record wire/ACH transactions.
    • Manage Amex downloads in QuickBooks twice weekly; allocate all transactions.
    • Track reimbursable items for client billing and employee expenses.
  • Client & Staff Interaction:
    • Engage with clients regarding billing inquiries (written and verbal communication).
    • Work closely with internal staff to track receipts and allocations.
    • Review hours to ensure correct billing phases before month-end.
  • Employee Management:
    • Onboard and offboard employees through our PEO, 401(k), medical benefits, and Guardian insurance.
    • Track PTO and manage payouts upon departure.
  • Reporting & Compliance:
    • Conduct monthly bank and credit card reconciliations.
    • Prepare and send client reimbursements by the 15th of each month.
    • Manage 1099s (Avalara) and ensure tax compliance.

Bookkeeper Profile:

  • 3+ years of bookkeeping experience, preferably in a project-based or client services environment.
  • Proficient in QuickBooks and payroll systems.
  • Highly organized, strong attention to detail, and deadline-driven.
  • Excellent communication skills for both client and internal team interaction.
  • Comfortable managing multiple priorities and working independently.
  • Experience with a PEO, 401(k) enrollments, and employee benefit administration is a plus.
